If you’re tired of setting up your online store, then this feature will come in handy for you. This is a fully customizable bulk upload process which can handle up to 99 products in a single import via XLS file. This bulk upload tool allow users to upload product data if it follows a specific format accepted by the system. To bulk upload your products:

 

  1. Go to Product.
  2. Click on Import/Export.
  3. Click on Click here to download sample under Import Product to download the excel file sample.
  4. You can now use the excel file sample to insert your product information.
  5. Once you have inserted all your product information, you will have to upload them back into the system.
  6. Click on Import Products.
  7. Select your excel file with all the product information.
  8. Select Excel for Type.
  9. Then, you will have to select either Add New Products (if you are adding in new products to your online store) or Update Products (if you are updating your products).
  10. Click Next.
  11. Drag and drop your product images into the image gallery.
  12. Click Next to bulk upload your products.
  13. You can also check whether your products have been uploaded successfully into the system. To do this, click on View Log/Previous File Uploaded under Import/Export.

 

If you do not know what to fill in each columns for the excel file, here’s a complete guide for you. All fields are optional unless stated otherwise.

 

  • SKU: your product SKU (This is a mandatory field, meaning you cannot leave this field blank)
  • product item: your product item; e.g iPhone. (This is a mandatory field if this is a sub product item, meaning you cannot leave this field blank if this is a sub product item)
  • product name: your product name; e.g iPhone 5 (black).
  • product type: this field can either be service or physical depending on what type of products you are selling.
  • productKeyword: fill in your product keywords, separated by a comma.
  • productPictureRaw: your product image name and file type; e.g iPhone5_black.jpg (only applicable for product images uploaded via image gallery). Learn how to upload products via image gallery.

Note: If you have more than 1 file for productPictureRaw, create another row with the exact same details for every other columns but different productPictureRaw details; e.g iPhone5_black_back.jpg.

 

 

  • productPictureSmall: your small product image name and file type; e.g /webshaper/pcm/pictures/iPhone5_black_s.jpg (only applicable for product images uploaded via image manager).
  • productPictureNormal: your normal product image name and file type; e.g /webshaper/pcm/pictures/iPhone5_black_n.jpg (only applicable for product images uploaded via image manager).
  • productPictureLarge: your large product image name and file type; e.g /webshaper/pcm/pictures/iPhone5_black_l.jpg (only applicable for product images uploaded via image manager).

Note: If you have uploaded your product images via image gallery, then leave productPictureSmall, productPictureNormal and  productPictureRaw fields blank.

 

 

  • active: your product’s status. If ‘yes’, this product will appear on your website. If ‘no’, this product will be hidden on your website. (This is a mandatory field, meaning you cannot leave this field blank)
  • cost: cost of your product.
  • price: amount that your customer pays for this product.
  • price visible: your product’s price visibility. If ‘yes’, this product’s price will appear on your website. If ‘no’, this product’s price will be hidden on your website.
  • alternative price text: this field is visible when your price visible is set to ‘no’. It can be anything to replace the price text on your website; e.g Contact seller for price.
  • stock: your stock quantity.
  • stock preorder: is this a preorder product? If yes, then fill ‘yes’. If no, then fill ‘no’.
  • ignore stock: allow customers to place order regardless of stock quantity? If yes, then fill ‘yes’. If no, then fill ‘no’.
  • stock backorder: allow customers to place order when your product item is temporarily out of stock? If yes, then fill ‘yes’. If no, then fill ‘no’.
  • stock reorder quantity: number of stocks that will be reordered once your product item is out of stock.
  • stock suspend qty: customers will not be allowed to place order once your product item stocks reached this number.
  • discountcan be entered as percentage or flat value (RM); e.g 10% or 10.
  • weight: your product weight in kilogrammes (kg)
  • short description: your product’s short description.
  • long description: your product’s long description.
  • theme: your product’s theme – leave this field blank if none.
  • manufacturer: your product manufacturer’s name.
  • category level: your product’s main category
  • category level 2: your product’s category level 2 – leave this field blank or delete column if none.
  • free shipping: offer free shipping for this product?  If yes, then fill ‘yes’. If no, then fill ‘no’.
  • custom field name: your product’s custom field name – leave this field blank if none. Learn how to create custom field.
  • file1: include all attachments file name here (seperated by comma) before uploading the files in file manager (max 6 files).
  • secondary categories: list down the categories ID (quoted and seperated by a comma) that you want this product to appear in; e.g ‘1236’,’4242′. Learn how to create multiple categories.
  • option 1: your product’s option 1; e.g colour (if you are selling smartphones) – leave this field blank or delete column if none. Learn how to create product options.
  • attributes 1: your product’s attribute for option 1; e.g black, white –  leave this field blank or delete column if none.
  • option 2: your product’s option 2; e.g storage capacity (if you are selling smartphones) – leave this field blank or delete column if none. Learn how to create multiple product options.
  • attributes 2:  your product’s attribute for option 2; e.g 32 GB, 64 GB –  leave this field blank or delete column if none.
  • option 3: leave this field blank or delete column if none.
  • attributes 3: leave this field blank or delete column if none.
  • option 4: leave this field blank or delete column if none.
  • attributes 4: leave this field blank or delete column if none.
  • option 5: leave this field blank or delete column if none.
  • attributes 5: leave this field blank or delete column if none.
  • option 6: leave this field blank or delete column if none.
  • attributes 6: leave this field blank or delete column if none.
  • parent sku: if this product is a sub product item, please enter parent SKU here.

 

Important: webShaper system can support up to 99 products in a single upload but this is not advisable as it might slow down the bulk upload process. Hence, it is better if you were to upload 10 products in every single upload.
